What happens at end-of-retention
- Records are deleted from production systems and overwritten in backups within 35 days of the next backup cycle.
- Where deletion is not technically feasible (e.g. immutable archives, court-ordered preservation), records are anonymized so they no longer identify a natural person.
- Hard-copy records are shredded; digital copies are securely wiped.
Legal hold
If we receive notice of an actual or anticipated legal proceeding, government investigation, regulatory inquiry, or audit involving you or your data, we will preserve the relevant records beyond the standard retention period for the duration of the matter and until all appeals are exhausted, regardless of any deletion request you may make. This applies even if you have closed your account.
Your right to early deletion (GDPR / CCPA)
You may request deletion of your personal data at any time by emailing [email protected] with subject line DSR Request โ Deletion. We will honor your request except for data we are required to retain by law (the schedule above), data necessary to perform an active engagement, data necessary to defend against legal claims, and data we have already de-identified.
We respond to requests within 30 days under GDPR Article 12 and within 45 days under California CCPA ยง1798.130. Timelines may be extended once, by up to 60 days under GDPR or 45 days under CCPA, where the request is complex or part of a high-volume batch.
Backup vs. live data
Even after we delete your data from live systems, residual copies may persist in encrypted backups for up to 35 days. Those backups are not actively accessed, are encrypted at rest, and are overwritten on the next rotation.
